At Pacific Instruments, Kai does the same.
It connects our people, calendars, and information across Outlook, Teams, and SharePoint.
Kai isn't just another system account — it's part of our company's identity.
It represents connection, calm, and flow — a digital reflection of our island roots. 🌊

🔧 Behind the Simplicity
You might notice this guide makes everything seem pretty intuitive. That's intentional.
Getting to "just invite Kai and conference@" required navigating Microsoft's licensing structure, understanding why resource mailboxes can't host Teams meetings (a limitation Microsoft doesn't exactly advertise), and designing a system where the conference room PC stays secure and convenient.
The best systems are the ones you don't have to think about.
🗓 Using Kai's Calendar
Kai's calendar is the shared company visibility hub.
Everyone has permission to view and edit it.
📌 First Time Setup: Add Kai's Calendar to Your Outlook
Before you can use Kai's calendar, you need to add it to your Outlook:
- Open Outlook and go to the Calendar tab.
- Click the ➕ (plus button) to add a new calendar.
- Select Add from Address Book.
- Search for and select kai@pacificinstruments.biz.
- Click Add.
✅ Kai's calendar now appears under "Shared Calendars" in your Outlook sidebar.

📋 Kai's Calendar Purpose
Kai's calendar is the main company calendar for Pacific Instruments. It replaces the old pacinsconferenceroom@gmail.com calendar and provides a centralized place for tracking employee availability, company events, and major meetings.

Color-coding calendar entries makes it easy to scan Kai's calendar at a glance and quickly identify different types of events without reading every detail.

📘 Common Scenarios
1️⃣ Taking Time Off
- In Outlook → open Kai – Calendar (under Shared Calendars).
- Click New Appointment.
- Title it: Tracy – Vacation
- Set as All-day event, with start & end dates.
- Categorize as Red – Vacation / Out of Office.
- Save & Close.
✅ Everyone sees "Tracy – Vacation" across the company.
2️⃣ Personal Appointment
- Add an event on Kai – Calendar titled Brian – Doctor Appointment.
- Set the time as 2:00 PM – 3:00 PM and mark Blue – Personal Appointments.
✅ This keeps visibility without cluttering the schedule.
3️⃣ Team Meeting in the Conference Room
- Create a Teams Meeting in Outlook.
- Invite:
- Attendees

- Save and send.
- Go to the conference room.
- Open Teams on the conference PC (Kai is already logged in).
- Click Join.

4️⃣ External Meeting (Vendors, Partners, Clients)

- Join directly from your own Teams account using the link from the external invite.
- You can present, share screen, or chat normally.
- ✅ No need for Kai.
🌊 From the Conference Room
- Open Teams on the conference PC (Kai is already logged in).
- Click Join with a meeting ID or link → paste the external meeting link.
- Kai joins as "Pacific Instruments – Conference Room."
✅ Everyone in the room can collaborate with remote participants.

💻 Conference Room Setup
Before the Meeting
- Turn on TV + sound system.
- Log into the PC.
- Open Teams (Kai is already signed in).
- Test devices: Settings → Devices → Test call.
During
- Join meeting → rename session to "Conference Room – Kai."
- Keep only Kai's mic + speakers active to avoid echo.
- Others can join on their own laptops muted for chat/screen share.
After
- Click Leave Meeting.
- Close Teams and lock the PC to protect Kai's account.
